DATA PRIVACY NOTICE AND CONSENT FORM

Cloudstaff is committed to protecting the privacy of its data subjects, and ensuring the safety and security of personal data under its control and custody. This policy provides information on what personal data is gathered by Cloudstaff Security Tips about its current, past, and prospective employees; how it will use and process this; how it will keep this secure; and how it will dispose of it when it is no longer needed. This information is provided in compliance with the Philippine Republic Act No. 10173, also known as, the Data Privacy Act of 2012 (DPA) and its Implementing Rules and Regulations (DPA-IRR). It sets out Cloudstaffs’ data protection practices designed to safeguard the personal data of individuals it deals with, and also to inform such individuals of their rights under the Act.

The personal data obtained from this application is entered and stored within the Cloudstaff system and will only be accessed by the Cloudstaff’s authorized personnel. Cloudstaff have instituted appropriate organizational, technical and cloud security measures (Amazon Web Services Shared Responsibility) to ensure the protection of the users personal data.

Information collected will be automatically deleted after three (3) years inactivity.

Furthermore, the information collected and stored in the application are as follows:
  • Given Name
  • Family Name
  • Avatar [Profile Picture]

USER CONSENT

I have read the Data Privacy Statement and expressed my consent for Cloudstaff to collect, record, organize, update or modify, retrieve, consult, use, consolidate, block, erase or destruct my personal data as part of my information.

I hereby affirm my right to be informed, object to processing, access and rectify, suspend or withdraw my personal data, and be indemnified in case of damages pursuant to the provisions of the Republic Act No. 10173 of the Philippines, Data Privacy Act of 2012 and its corresponding Implementing Rules and Regulations.

Be cautious on File sharing
 

You may want to consider limiting access to all other directories and creating a special directory solely for file sharing. Restrict access to your files by sharing them only with those who genuinely need them and whom you know and trust. Also, remember to remove files you no longer need to reduce the risk of unwanted access. Regularly clean up your file-sharing account and delete any files you no longer require.

Create Unique Passwords for Each Account
 

It's important to protect your passwords. If you suspect that your password has been compromised, change it immediately. Your password may be compromised if you experience multiple sign-in failures on your account, if someone else accesses another account that uses the same or a similar password, or if you notice any unusual activity on your account. If your password has been compromised, all the data associated with it may also be compromised. It's crucial to change your password if you believe that someone else has accessed your account. Make sure that your new password is completely unique.

"Password-Protected" Does Not Imply Security
 

Proceed with caution when accessing email attachments, especially password-protected ZIP files. Malicious software or malware may be contained in email attachments. Since a virus scanner may not be able to automatically scan the ZIP file's contents, it's important to take precautions. Before opening any email attachment, make sure you know and trust the sender to protect yourself. Never activate macros in email attachments. The macro, not the email attachment, may pose a real danger.

Never Use Suspicious Drives
 

Any information assets you find—like USB drives—should be surrendered immediately. Never plug them into your workstation. Never Click Links on Unknown Emails
 

To check if your email account is active, spam emails may use the "unsubscribe" feature. Don't remove your name from mailing lists that you didn't join, as you might be prompted to opt out of receiving spam emails. Clicking on the unsubscribe link can possibly redirect you to malware. Moreover, the spammer may use your response to ascertain that your email account is active and continue sending you spam messages, or even sell your email address to another spammer. When you receive unsolicited emails, resist the urge to immediately unsubscribe. Instead, mark them as spam and let your email application handle the rest.

Your Workstation, Your Responsibility
 

Your computer or mobile device could potentially be infected with malware by anyone who has access to it. Never allow family or friends to use your workstation computer or devices, as they may unwittingly introduce malware, particularly young children. If this happens, all of the data on the computer or device may be compromised.

It's also essential to be cautious if you're considering setting up a guest account or another account for them to use. Even if you do this, it's best not to allow anyone else to use your computer if it has access to information from your place of employment.
